The Provider Recruitment and Onboarding Coordinator (PROC) is the “glue” that holds together the physicians and stakeholders during recruitment and onboarding. This individual works closely with the Provider Recruitment and Operations teams to handle all administrative duties related to provider recruitment and onboarding. The ideal candidate will organize and implement administrative tasks and projects as well as identify opportunities for improvement and growth. The PROC is a vital role in the provider recruitment and onboarding experience. This position also has career development opportunities into administration or physician recruiting roles as well.

 

**This position can be remote.

Responsibilities

Provider Recruitment Support

  • Develops and maintains an effective working knowledge of the ESP provider recruiting and hiring process
  • Places and maintains job-board advertisements
  • Assists with the candidate interview process, coordinates onsite itineraries with practice management and local physicians, handles travel arrangements and expense reimbursement, and schedules interviews
  • Verifies candidates initial background info online for state licensure, board certification, OIG exclusion, etc.
  • Maintains iCIMS database ATS (Applicant Tracking System) to capture provider candidate prospect data and distribution lists

 

Provider Onboarding Support

  • Follows and executes HR onboarding requirements, facilitating the distribution, completion, and submission of employment, tax, and onboarding forms for newly hired physicians
  • Enters new physician hire information into HRIS payroll system
  • Obtains candidate references and coordinates provider-to-provider reference checks with ESP group physicians
  • Obtains new provider information for introduction to ESP Credentialing Department

 

Administrative Support

  • Distributes physician agreements to stakeholders in relevant departments: Operations, RCM, Payroll, Legal, Finance, and Marketing
  • Archives physician contracts on database smartsheet updating key tracking fields
  • Maintains ESP Provider Active Roster
  • Schedules and confirms in-person and virtual meetings
  • Manages and maintains the calendar for the Director of Provider Recruitment
  • Assists with candidate relocation and out of state travel arrangements
  • Plans special events, books outside venues, manages AV, etc.

  • Position requires excellent problem-solving, communication and organizational skills as well as the ability to multitask
  • Critical thinking skills required to plan and prioritize a large volume of detail-oriented work in accordance with changing deadlines
  • The ability to work with minimal supervision, set priorities, and follow through to accomplish results
  • Demonstrates patience and stays calm under pressure
  • Displays a commitment to the value of teamwork by building strong relationships with the Provider Recruitment team, HR, and Directors of Operations at national practices.

Qualifications

Qualifications/Requirements

  • Bachelor’s degree in Business Administration/Management, Healthcare Administration, Human Relations, Communications/Marketing or relevant field
  • Healthcare administration and recruitment background and experience required
  • Minimum of 3 years in an office environment
  • Strong Microsoft Office skills
  • Strong technical skills and drive to learn new skills

  • Microsoft Office Suite (Frequently)
  • SmartSheet (Frequently)
  • Basic computer skills (Frequently)
  • Standard office equipment (Occasionally)
  • ExponentHR - HRIS software (Occasionally)
  • iCIMS - Applicant Tracking Systems (Frequently)

 

Communication Skills and Abilities

  • Previous healthcare background with specific knowledge of the medical/physician community
  • Previous onboarding experience/exposure preferred
  • Superior written and verbal communication skills
  • Excellent interpersonal skills with the ability to engage at all levels of the organization.
  • Professional demeanor with internal and external clients, including administrators, physicians, peers, and support staff
  • Exhibits a high level of energy and demonstrates the ability to work as part of a team with flexibility in a fast-paced environment
  • Proven track record of exceptional customer service skills

 

Physical Demands and Working Environment

  • Physical demands: medium- exerts up to 50 lbs of force occasionally, and/or up to 20 lbs frequently to move objects
  • Work environment: normal environment- normal light, air, and space in environment
  • Other- must have driver’s license in good standing
  • May require off-site travel

 

Additional Comments

  • Attends meetings, in-service trainings, etc. as required
  • Displays an understanding and awareness of and performs all duties in accordance with the organization’s mission and vision statements
