    Optical assistants are a vital part of our team at Shasta Eye Medical Group.  As an Optical Assistant you will ensure the Optical department runs smoothly.  A typical day includes unboxing deliveries, verifying information in the computer system, calling patients to notify them that their order is ready, and putting new frames into inventory.  The assistant works closely with opticians and other employees to provide superior vision care to our patients.  


    The Optical Assistant processes all patients care from initial contact, registration to appointment scheduling at Shasta Eye Medical Group, Inc. This requirement is done efficiently and promptly to assure timely processing for patient. Position also requires excellent patient contact through proper telephone etiquette.

    • Listen to messages left on the optical voicemail and route messages as appropriate.
    • Complete minor repairs and adjustments on eyewear as needed.
    • Receive shipments from labs, matching eyewear with the tray to be checked in.
    • Input patients prescription information and demographics into the ordering system as needed.
    • Promptly obtain insurance authorization for glasses or contact lenses as needed by the optician.  Accurately and completely fill out the insurance worksheet with insurance information.
    • Maintain strictest level of confidentiality regarding all information in the practice, including, but not limited to, patient medical and optical records and patient financial information.
    • On a weekly basis, check the status of glasses and contact lens jobs on order.  Notify the patient of the status of the order each week by either telephone or postcard.  Keep accurate written record of all communication with the lab, patient, optician, etc.
    • Dispense contact lenses to patients as requested by the optician and to patients that only need to pick up and not see the optician.  Ensure that the patient has paid in full before leaving the building.
    • Send back frame returns in a timely manner.  Add/remove frames from inventory.
    • Take patient payments as needed.
    • Maintain good housekeeping both in the optical lab and dispensary.
    • Perform related duties as required.
    • Assist other departments in problem solving optical related issues.
    • On a daily basis, call patients whose glasses or contact lenses have come in and are ready to be picked up.  Also, mail glasses and contact lenses to patients who indicate to do so.
    • At the end of the day, balance cash drawer, (cash to billing), tally daily optical totals, secure doors.
    • Package all orders for Empire, VSP and PIA, daily
    • Order supplies as needed, (hats, cases, lens cleaner, contacts solutions cleaner, etc.), and maintain supply of optical forms.
    • Bill VSP exams only.
    • Dispense contacts to patients at time of pick up.
    • Collect payment before patient leaves the office as per office guidelines for cash paying patients, and co-pays or deductibles for patients with insurance.
    • Mark on the charge slip the results of his or her attempt to collect from the patient.
    • Offer patient additional help such as complementary slip-in sunglasses, assistance out the door, telephoning for a ride.
    • After check out; attach to the route slip, any paperwork necessary for billing including, but not limited to, the Insurance Update form, copy of the insurance card, VSP or MES claim form, check or credit cart slip.
    • Make certain that the optical area is always properly supplied at all times.
    • Daily patient contact with practice staff, ensuring such contact is cordial and professional. Ensures prompt response to patient needs and inquiries.
    • Respects all patient information in accordance with practice policies and HIPAA standards. Ensures appropriate organization of patient file(s) and accountability for file(s) location at all times.
    • Provides assistance and support to the other departments, coworkers and/or Manager as needed.
