Medical Records Specialist Needed For Our Team

A Medical Records Specialist is responsible for verifying, assembling, and analyzing medical records according to establish standards for medical record completion, enters all clinical record data in the information system.


Medical Records Specialist Responsibilities:

  • Prepares all upcoming surgical charts to include admission notes.
  • Analyzes medical record after surgeries for accuracy and completeness, and assigns any incomplete documents to the appropriate clinician for completion, utilizing record deficiency slip.
  • Retrieves and files dictated operative reports from transcription systems.
  • Request and files laboratory test results and mails copies upon request from surgeon’s office.
  • Files all completed surgical charts in the medical records area.
  • Collects and records data involving Quality Assurance/Risk Management Indicators, Cancellations and Patient Satisfaction Surveys.
  • Answers telephones, routes calls, takes messages, and provides routine information to customers promptly and courteously.
  • Participates in adverse incident reporting program.
  • Handles all medical records requests.
  • Schedules surgical procedures, checking surgeon’s block time, staff and equipment conflicts.
  • Notifies appropriate staff of additions and cancellations of cases.
  • Assists the Receptionist/Admitting Secretary with phone calls and registration of patients, if necessary.
  • Maintains public relations with physician’s scheduling secretaries, encouraging posting of cases with the center.


Medical Records Specialist Qualifications:

  • High school diploma or equivalent
  • Experience in medical records, preferably with electronic records.
  • Must have advanced clerical training which includes typing, basic filing skills and fundamental understanding of office procedures.
  • Must be familiar with medical terminology, surgical procedure nomenclature, and anatomy.
  • Knowledge of all confidentiality requirements regarding patients and strict maintenance of proper confidentiality on all such information.
  • Strong verbal and written communication skills.
  • Excellent phone etiquette.
