The Administrative Assistant will be responsible for providing a friendly and efficient patient experience when patients visit the practice.  This position is also responsible for answering telephones, maintain patient files, distributing daily correspondence, supporting the business in it's day to day function, and ordering inventory of clerical supplies.

Responsibilities

  • Work closely with Director of Operations to help with triaging of appointments with outside vendors.
  • Work with the Director of Operations on tasks assigned on an ongoing basis.
  • Run necessary management reports on regular basis.
  • Various data entry tasks.
  • Maintain and organize necessary files for the Director of Operations
  • Help maintain oversight of the Optical department and necessary functions as directed therein.
  • Assist other departments as directed.
  • Run minor errands for practice related matters.
  • Take meeting notes as directed.
  • Be able to use the practice management system on a adequate basis.
  • Must be experienced in Microsoft Office (especially Excel).
  • Must have strong organizational skills

Qualifications

  • Possess at least one year of experience as a medical receptionist or front desk, preferably with electronic records.
  • Must have advanced clerical training and a fundamental understanding of medical office procedures.
  • Must exhibit well developed computer skills.
  • Possess strong verbal and written communication and interpersonal skills.
  • Be a well-organized, team-player with great attention to detail and daily priorities.
  • Demonstrate superior computer skills.
  • Highly energetic with positive attitude.
  • Must be able to walk, stand and sit for eight hours.
